Privacy: booking with your AI assistant
How brainWALL handles your information when an AI assistant, such as Claude or ChatGPT, books a service appointment for you at a participating dealership.

Information we receive
- Your full name and mobile phone number, so we can confirm the number by text message.
- The six-digit code you read back to your assistant. We keep only a scrambled (hashed) form of it, for up to 10 minutes.
- Your vehicle's year, make and model, and, if given, its VIN.
- The service you asked for, in your own words, the appointment time you chose, and your email address if you give one.
- The name and web address of the assistant making the booking, if it provides them.
- Technical information about the request, such as IP address and browser or app type, used to prevent abuse.
Information we share with your assistant
- Public details about the dealership: name, address, phone number, hours and amenities.
- The dealership's bookable services and open appointment times.
- Only after your phone number is confirmed, and only for the dealership customer record whose name matches the name you gave: the vehicles on file there (year, make, model, VIN) and your upcoming appointments (date and time, status, vehicle and service codes).
- The result of booking, rescheduling or cancelling, including the dealership's confirmation number.
We never share internal customer identifiers, advisor names or appointment notes, and we never reveal other people's records that use the same phone number.
How we use it
- To send the verification text from the dealership's phone number.
- To look up, create or update your customer and vehicle record and your appointment in the dealership's scheduling system, on the dealership's behalf.
- To check the service description for a possible safety concern, such as failing brakes, using an AI model. If one is found, the dealership's service department is emailed so it can follow up.
- To keep a record of the booking for the dealership, and for quality review and support.
Text messages
The verification text is a single message sent only because you gave your number and asked to book. It is not used for marketing. Message and data rates may apply.
Who receives it
- The dealership you are booking with. The appointment and customer record belong to that dealership.
- Service providers that work for us: Twilio (text messages), Anthropic (safety screening) and our hosting provider.
We do not sell your information.
How long we keep it
- Verification codes: deleted as soon as they are used, or after 10 minutes.
- Request logs: deleted after 30 days.
- The booking session, including the conversation with your assistant and the details stored with it: erased 12 months after the session, or once any appointment it booked has passed, whichever is later.
- Appointment and customer records in the dealership's own systems are kept according to the dealership's policies.
Your choices
- You can cancel an appointment through your assistant during the same session, or by contacting the dealership.
